Instructions for using EndNote for Mac

Editing citations in Word

There are two ways to use the 'Edit & Manage Citation(s)' function:

1. Control-click or Right-click method from Word

  • Select the citation you wish to change.
  • Control-click or Right-click and then select Edit Citation(s) 
  • Then select More.

2. Toolbar method from Word

  • In your document select the citation you want to change by placing the cursor anywhere within it.
  • Select the EndNote 21 tab from the toolbar ribbon.
  • Select the Edit & Manage Citation(s) button and make the necessary changes. Save the changes and the citation will be updated.

  1. Click on your citation and choose Edit & Manage Citation(s) on the EndNote 21 toolbar in Word
  2. Make sure the citation you want is highlighted
  3. A new window will open with the details of the highlighted reference. In the lower half of the window choose Pages
  4. Enter the number or range into the Pages box
  5. Click OK.

NB If this doesn't work for your style, then use the Suffix field, but enter the space and punctuation needed, eg: , p. 12

  1. Click on your citation and choose Edit & Manage Citation(s) on the EndNote 21 toolbar in Word
  2. Make sure the citation you want is highlighted
  3. A new window will open with the details of the highlighted reference. In the lower half of the window choose Prefix or Suffix
  4. In the Prefix field, type your desired phrase including spacing, eg as cited in(include a space at the end)
  5. In the Suffix field, type your desired phrase including spacing & punctuation, eg , table 2
  6. Click OK.

Multiple citations will appear in alphabetical order in text or in footnotes. Some styles may require ancient texts to be listed first, or more important references to be listed first, rather than alphabetically. To change order:

  1. Click on your citation and choose Edit & Manage Citation(s) on the EndNote 21 toolbar in Word
  2. Make sure the citation you want is highlighted
  3. A new window will open with the details of the highlighted reference
  4. In the upper half of the window, use the up and down arrows under each citation to change their order
  5. Click OK.

  2. Make sure the citation you want is highlighted
  3. A new window will open with the details of the highlighted reference. In the lower half of the window choose Format and select either Exclude Author or Exclude Year.
  4. Click OK.

  1. Click on your citation and choose Edit & Manage Citation(s) on the EndNote 21 toolbar in Word
  2. Make sure the citation you want to delete is highlighted
  3. A new window will open with the details of the highlighted reference
  4. In the upper half of the window click on drop-down arrow on the setting icon
  5. Click on Remove Citation
  6. Click OK.

Important to 'Edit & Manage Citations'

Important

EndNote embeds code within your Word and any stray code can corrupt your document. It is essential that when you make changes to a reference that you use the Edit & Manage Citations function in EndNote.

Don't delete or edit this text directly, there is a risk that stray EndNote code is left behind. This may corrupt your document. 

Field Shading

Highlighting your in-text citations and references will prevent you accidentally deleting or editing embedded EndNote codes. To do this open Word and then follow the steps: 

  1. Go to the Word menu.
  2. Select Preferences and then the View tab.
  3. Set the Field Shading drop-down box to Always.

Fields that are connected to EndNote will now appear in grey shading.
