Provides an overview on how to submit your thesis to the digital collection and highlights copyright questions to consider

Who is eligible to submit a thesis?

You are eligible to deposit a copy of your thesis if:

  • your thesis has been approved
  • you completed a Master of Research, Master of Philosophy, Doctor of Philosophy or Professional Doctorate degree
  • you completed your degree at Macquarie University.

All Macquarie University higher degree research candidates MUST submit a digital copy of their thesis.

The Library will also accept theses created:

  • as part of a Master degree by coursework on a request basis by the student
  • as part of an Honours degree on a request basis by the student, where the deposit is authorised by the Dean of the Faculty.

How do I submit a copy of my thesis?

Macquarie University Theses Collection is an Open Access repository. This means that all digital theses submitted to it will be freely and publicly available online unless otherwise approved. 

To submit your thesis,

  1. Log in to eStudent
  2. Click in the Forms tile
  3. Search for the ‘Graduate Research Students Thesis Submission to Library Request’
  4. Complete the form
  5. After submission of the eForm, your request will go to the Graduate Research Academy (GRA). You will receive an email notification confirming that your request has been completed.

Once your submission has been checked by the GRA, it will be forwarded to the Library. You should not submit your thesis directly to the Library.

What are the acceptable file formats?

Acceptable file formats for the digital copy are PDF, Word and RTF, with PDF being preferred. The Library will convert the thesis to PDF format if it is submitted in another format.

When submitting in PDF format, do not incorporate any security or access protection measures into the file as the library may need to make minor formatting adjustments.

If your thesis is in another format other than those listed above, the Graduate Research Academy (GRA) will contact the Library on your behalf to ascertain whether or not other formats are acceptable.

What if I completed my thesis before the Digital Theses Collection began in 2011?

If you have a digital copy of your thesis, it can be submitted to the Macquarie University Digital Theses by following the steps above.

If you do not have a digital copy of your thesis, or for more information, contact Research and Digital Scholarship team at researchonline@mq.edu.au to discuss options for making your thesis available.

Library Embargo

The Graduate Research Thesis Preparation, Submission and Examination Policy indicates the conditions of Library Embargoes.

Clause 33:

"Students seeking to publish their thesis or parts thereof, may request a temporary embargo from the Macquarie University Library during the final submission process (Library Embargo)."

Clause 45 9b):

"A thesis with a Library Embargo will be lodged and deposited as above, but only the thesis title and metadata will be displayed in Open Access. The full version of the final thesis will not be available publicly until the conclusion of the Library Embargo period."

Theses will not be automatically embargoed. However, if you are considering publishing your thesis a Library Embargo can be considered if: 

  • you are in negotiations with a publisher

  • you have not commenced negotiations with a publisher, but intend to do so in the future

You must contact the Library to discuss your plans before requesting an embargo.

Please note:

  • If an embargo is agreed to; it will be only for a limited period.

  • An embargo on a thesis is not required just because your digital thesis contains third-party material (e.g. images from external sources) as the Library has multiple strategies to deal with these situations.
